Job Title: School Administrator / Registrar (SAR)
Location: African University Institute of Science and Technology (AUIST) — Bakoko Yapaki
Job Overview
- Oversee daily operations of AUIST: manage staff, ensure compliance, and maintain the school budget.
- Support a positive and effective learning environment by working with lecturers, students, and stakeholders.
- Administer student records, registration processes, and academic records management—ensure accuracy and integrity of student data.
- Manage enrolment procedures, update academic policies, and coordinate graduation events.
Major Duties
Registration / Marketing
- Oversee registration process: course enrolment, drop/add, schedule management.
- Develop and implement registration procedures.
- Manage class schedules and room assignments.
- Conduct market research, create content, manage campaigns, and analyze results.
- Maintain consistent brand identity across marketing efforts.
Student Records Management
- Maintain accurate, confidential, and up-to-date student records (data protection compliance).
- Manage transcripts, degree verifications, and academic documents.
- Process grade changes and academic standing updates.
- Ensure integrity of academic data in the student information system.
- Maintain and update the course catalog.
Compliance
- Ensure adherence to university policies and local/regional regulations.
- Support curriculum development, assessment, and instructional strategies.
- Promote a positive and inclusive school climate.
- Coordinate with the school board and stakeholders to set goals and objectives.
- Provide support on academic policies and procedures.
Graduation
- Coordinate graduation ceremonies and verify degree requirements.
- Plan and execute logistics; manage invitations and stakeholder coordination.
- Manage production/distribution of graduation materials (programs, brochures).
- Prepare and manage the graduation budget (catering, decorations, materials).
Collaboration
- Work with academic departments, advisors, and university offices to support student success.
- Build relationships with parents, community organizations, and stakeholders.
- Maintain open communication and collaborate on student-related issues.
- Handle student appeals and petitions.
Management
- Hire, train, and supervise admin staff and teachers; oversee student activities and discipline.
- Manage day-to-day operations: scheduling, record-keeping, and facilities oversight.
- Manage budgets, allocate resources, and ensure financial stability.
- Resolve conflicts and provide professional development for staff.
- Ensure a safe and secure learning environment.
Supervisory Responsibilities
Direct supervision of:
- Admin Assistants / Secretary
Minimum Requirements
- MA / MSc (or equivalent).
- Minimum three years’ experience in a similar role.
- Leadership: guide and motivate staff to achieve school goals.
- Strong written and verbal communication skills with students, parents, and staff.
- Problem-solving and organizational skills; ability to manage multiple responsibilities.
- Interpersonal skills and strategic thinking; understanding of curriculum development and program management.
